Quality Assurance (QA) Process and Roles
The QA process has three stages:
The QA evaluation, which identifies issues affecting course quality, is performed by QA evaluators (staff) and the Ally Accessibility Report. Basic quality standards are defined by the QA rubric .
Projects: Identified issues are flagged and added to one or more ongoing project queues at cidi-gang.monday.com . Projects are a defined set of services designed to resolve specific issues and improve course quality.
Service Review: As services are completed, experienced members of the team who are trained as reviewers sign off on the project work and mark it as complete. Instructors are notified of the change.
Roles:
Instructional Designer (ID) / Accessibility Coordinator
QA Evaluator
Responsibility: Check courses for QA issues according to course QA rubric, assign image alt text to course images through the Ally tool.
Basic Course Editor
Responsibility: Can help with QA evaluations and image accessibility. Also performs basic services to fix presentation and content issues and to prepare files for file conversion. Obtains permission for basic services from instructor as needed.
Training: FERPA, Onboarding course to the module titled: “Level 2 Projects,” File preparation course
Advanced Course Editor
Responsibility: Focuses on file conversions, bonus updates, and course development projects. Obtains permissions for advanced services from ID and instructor as needed.
Training: FERPA, Onboarding course to the module titled: “Level 3 Projects,” File Conversion course, 40 hours experience with Level 2 projects
Design Reviewer
Responsibility: Review and approve completed work for P/C Fixes, Bonus Updates, and Kaltura Transfer projects.
Training: Advanced course editor training, 40 hours of approved experience with Level 3 projects that the Design Reviewer role oversees.
Accessibility Reviewer
Responsibility: Review and approve completed work for File Preparation, File Conversion, and Image Accessibility projects.
Training: Advanced course editor training, WebAIM file accessibility training through Unit 2, 40 hours of approved experience with Level 3 projects that the Accessibility Reviewer role oversees.

QA Evaluation: Complete the evaluation in the Courses and QA board in Monday.com. Refer to the QA Course Rubric for instructions on marking each QA category. Coming soon: For significant assistance, there will soon be a course report link in the course record that will pull some course details from Canvas.
P/C Fixes: Find and update courses in the P/C Fixes board of Monday.com. Follow the guidelines for fixes, including when to reach out to the instructor, as noted below the green Basic headings in the QA Course Editing Instructions document.
Bonus Updates: Find and update courses in the Bonus Updates board of Monday.com. Follow the guidelines for fixes, including when to reach out to the instructor, as noted below the golden Advanced headings in the QA Course Editing Instructions document.
Kaltura Transfer: Find and update courses in the Kaltura Transfer board of Monday.com. Follow the guidelines for fixes, including when to reach out to the instructor, as noted in the Operational Maintenance section of the QA Course Editing Instructions document .
File Preparation: Find and update courses in the File Preparation board of Monday.com. Follow the guidelines for fixes included in the File Preparation section in the Level One Projects module of the onboarding course.
Accessible Images: Find and update courses in the Accessible Images board of Monday.com. Follow the guidelines for fixes included in the Accessible Images section in Level One Projects module of the onboarding course.
File Conversion: Find and update courses in the File Conversion board of Monday.com. Follow the guidelines for fixes included in the File Conversion section in Level Two Projects module of the onboarding course.
Video Captioning: Specific staff members associated with the DRC will work with video captioning. Captioning needs are identified in the QA evaluation, but the roles defined above don’t typically participate in the captioning process.
Service Definitions
The following list of services has been approved by the Provost’s office, with basic services being those that can generally be performed without obtaining instructor approval (if they appear to fix unintended problems) and advanced services being those that generally require instructor approval. These services are closely related to the categories checked in the QA evaluation process.
