Include it here to make it accessible to others. Also feel free to edit any of the current info below if it’s outdated. This is a living document.

Recordings from past trainings:

USU Account Access (issues with accessing accounts):

Faculty or students who are experiencing issues with Duo or logging in through the University’s Central Authentication System (used by most systems at the University), should contact the IT Service Desk at 435-797-HELP.

Kaltura Recorders

Note:

Due to upload and processing challenges, we should recommend that, whenever possible, teachers only record one video stream. This will decrease the probability of a failed recording.
A lot of home networks have poor upload speeds. CIDI recommends limiting recordings to 15 minutes a piece when recording from home.
If students need support,  the IT Service Desk can help with Kaltura watching and making videos for assignment submissions. Direct the faculty to this webpage for student support: http://cidi.usu.edu/student-support-resources/kaltura_overview
There are more guides available on the CDA 0114 Canvas page.

Desktop Capture

Once installed, one can start a recording by opening Desktop Capture on one’s computer without needing to initiate it through Canvas. The instructor just needs to ensure they click “Save and Upload” when they finish the recording.
How to access Kaltura recordings saved to a personal computer (Windows):  C:\Users\tberg\AppData\Local\Kaltura\Capture
From here they can upload them straight into My Media, but the webcam and share screen will be saved as two separate recordings with audio on both.

How do I upload a Kaltura video when the Capture Desktop Recorder does not successfully upload?” Instructions: https://liberty.service-now.com/kb_view.do?sysparm_article=KB0016056
How to download a video from My Media: http://cidi.usu.edu/tools/media/Download_a_video
Sometimes a video will show in My Media but not the Media Gallery even when the recording has been published; one way to fix this is to unpublish then republish.
How to unpublish and republish a recording:
Click on the recording from “My Media”
Under the “Actions” menu, choose the “Publish” option
Select the radio button that says “Private” and save your changes
From the same page, select the “Published” radio button and choose the correct course and save changes

Scheduled Recordings

If an instructor wants a scheduled recording cancelled - forward that to Kylee Gray, Shane Thomas, or Amy Carpenter.

Mac Issues

Fix for the "Fail to Record" error message. In the Security & Privacy Setting-Screen Sharing. Kaltura Capture is not selected (allowed) to record the screen.
Go to System Preferences (Apple icon)
Select Security & Privacy
Scroll down to Screen Capture
Click the padlock to make changes
Check Kaltura Capture  (see screenshot below)
Click the padlock to keep the changes
Also while you are there look at the Microphone and the Camera setting

Kaltura My Media

Notes:

Kaltura does not work on mobile devices. If users are getting an error while trying to access My Media, check first to see if they are on a mobile device.
Firefox is the preferred browser for using Kaltura. Chrome tends to give errors when trying to access “My Media”.
If a video can’t be embedded, it may be because it is marked as  Private  rather than  Published . They may need to go into My Media, select the video, click “actions” and publish the video. This will bring up two options:  Private  and  Published . They will need to click  published . Then it will ask them which courses they want the video published in.
In Safari, you may need to walk a user through how to enable third party cookies in order for Kaltura to work.
To enable cookies in Safari:
Go to the Safari drop-down menu.
Select Preferences.
Click Privacy in the top panel.
Under 'Block cookies' select the option 'Never.'
For increased security, once you have finished using the site, please change the Privacy setting back to Always.
If multiple professors want to share their My Media videos with one another, they can add a collaborator to their My Media. This basically allows multiple people to share, view and edit the video.  http://cidi.usu.edu/tools/media/share-mymedia-video-permissions-with-another-user

Assignments

Assignments with/without multiple submissions can be viewed through the Speed Grader option

Turnit-in For graduate student’s thesis/dissertation:

For Graduate Advisors that want to run their Grad Student’s paper through TurnitIn, they will need to either have that student associated with a course to run it through Speed Grader (easiest) or start a chat with us, invite Level 2 CIDI person and have them contact the TII Admin to create an account that isn’t associated with Canvas for them to use in the future.
For additional tutorials and documentation, please see the following link.

Quizzes

Classic quizzes can’t have their scores displayed as a percentage. Only as points out of a total. New quizzes (beta) can display percentages, but they don’t work with proctorio.
Importing a quiz from another canvas course:  cidi.usu.edu/tools/canvas/Import_Quiz_from_another_canvas_course
Un-proctored exams can have links to external sites in them. If the exam is proctored and an image is unreadable due to quality, try using a .jpeg or .png format.
If a professor wants to remove a quiz that some students have already taken (and have it not affect any final grades, as if the quiz never existed) CIDI needs to get involved.
They might be able to delete it, OR
They won’t be able to remove the quiz entirely but they can make it worth zero points so it doesn’t affect grades.

Modules

Videos embedded as a link in a module do still need to be enabled in Media Gallery/My Media in order for students to be able to view them.

Courses

Guide to changing start and end dates for a course:

Accessibility (Within Canvas)

How to set a due date after the semester ends?
The end date of the course has to be set back to a date at or after the due date.
You can go to the course settings and change the course end date.
Then you can change the assignment due date.
BUT, there’s always the caveat that if any Banner updates occur, they will set the course end date back to what it was before, and the student might not be able to actually submit the assignment between the official course end date and the assignment due date.

(Quiz/Exam) How does setting a due-date work when there are students in the class who are given the extra time accommodation from the DRC?
If the professor is creating a quiz in canvas and creates the quiz  more than two days  before the entered due date, the DRC will be notified and add time automatically. If the quiz is created  less than two days  before the entered due date, the professor will need to notify the DRC manually.
The professor does not need to assign the student to a different assignment group in Canvas. The DRC can change their time even when they are included with all the other students in a group.
(Quiz/Exam) What if the professor wants the exam to be open a certain amount of time (ex. 1 hour) for all students  except   those receiving extra time from the DRC?
The DRC can make this change - faculty needs to reach out to them.  (I was told faculty can also make this change but was not told how - if faculty is unaware, they can contact the DRC to do it for them.)

Watching Recorded Lectures

(Playback speed)The option to watch lectures at a faster speed should be an automatically enabled setting
Students watching a recorded lecture on an iPhone need the KMS Go app to use the faster watching speed setting

Peer Reviews

Peer reviews created with the ‘anonymous’ setting will make it so students cannot see the name of those they are reviewing or those who have reviewed them.
The setting cannot be changed after creation. A new peer review assignment will need to be made
Students can submit a peer review through the assignments tab

Class Incompletes

When a student has an incomplete in a class and needs access to the course beyond the typical end date, there are a couple of options:
Typically, with incompletes, the best course of action is to create a new course without any dates and copy the content over, and then add the necessary student(s).
You can also extend a specific student’s access to the course beyond the usual due date. To do this, complete three steps:
One: Set the  course  end date  further into the future to the last date the student may need access to the course (Course settings > Course details tab).
Two: Edit the original  sections  (Course settings > Sections tab) and make sure the official end date is set and the checkbox is checked to limit student access to the start/end dates.
Three: Create a new section with the same end date and enroll the student in it.
Right now only an admin can perform steps 2 and 3, so you’ll need to know the name and finish date of each student taking the incomplete.

Proctorio

How to view proctorio recordings:
G o into the exam, and from there you will go to View Proctorio gradebook (on the right side of the screen). Then, you should be able to press on whichever student has taken the exam to see the recordings. Once you click on their name, there will be a play/skip button on the bottom left side of the video, and a volume option on the right.
If the professor can’t view proctorio gradebook, the extension probably needs to be updated/reinstalled.
