Accessibility Roles and Expectations 

When it comes to making course content is accessible and inclusive there is some work that can generally be done by the instructor and other support where the accessibility office can help out. Below is information on different file types and a breakdown of responsibilities. 
 
A great first step is always to use TidyUP to delete any files that are no longer needed - less content to make accessible! 

Videos 

Your primary role with videos is helping the instructor add his or her videos to Kaltura and assigning them to the course. 

Instructor/Instructional Designer

Prepare the videos

  1. Videos created by the instructor and YouTube videos should be mad available to Kaltura.
  2. Assign all Kaltura videos to the course (Kaltura category = Canvas Course ID)

Inform Accessibility Services

  1. Send an email to captions@usu.edu with the subject "New developer captions" with the URL of the course.

Edits

  1. If desired, instructors can edit video captions through My Media.

Accessibility Services

  1. Support 3rd party non-YouTube videos as needed.
  2. Caption all of the videos.
 

Microsoft Office Documents 

Most of the accessibility fixes in Office documents (primary Word, PowerPoint) can be done fairly easily using the built-in Microsoft accessibility tools . The Ally feedback tool includes instructions or Christopher is always willing to meet with you to get you (or any instructor) up to speed!  

Instructor/Instructional Designer

  1. Add alt text to images
  2. Appropriate headings exist (starting with "Heading 1", doesn't skip headings)
  3. Fix contrast issues
  4. Add header to tables
  5. Add language and title to the document

 

Accessibility Services

  1. Support for any of the items on the left as needed.

 

Canvas Pages 

Most of the accessibility fixes in Canvas can be done fairly by editing the page or using the built-in Canvas Accessibility checker . 

Instructor/Instructional Designer

  1. Add alt text to images
  2. Appropriate headings exist (starting with "Heading 1", doesn't skip headings, no empty headings)
  3. Fix contrast issues
  4. Add header to tables
  5. Lists are coded correctly

Accessibility Services

  1. Support for any of the items on the left as needed.

 

 

PDF Files 

Unless you are a glutton for punishment, we generally avoid making PDF files accessibility - but there are a couple of areas where we will need your help. 

Instructor/Instructional Designer

  1. If the files are PDF versions of original PowerPoint or Word documents - help the instructor replace the PDF files with the original documents.
  2. If the instructor does not have the original documents, ask if they are willing to have their PDF files converted to Canvas content - we are happy to create a sample document for a course if the instructor wants to see what this looks like.

 

Accessibility Services

  1. We will convert (or help convert) the PDF files to Canvas content where original content does not exist.
  2. If the instructor does not have the original files and is not interested in converting them to HTML we will work on making the PDF files more accessible.

General 

Instructor/Instructional Designer

  1. Run TidyUP to delete files and other Canvas Content that is not in use.
  2. Run the broken link checker.
  3. Remove navigation items that are not in use.

 

 

Accessibility Services

  1. Add the "Accessibility Report" to each course.
  2. Hassle all of you incessantly to improve course accessibility ;)
